Administrative Assistant Wanted
SUMMARY
Oversee and manage all office procedures and provide administrative support. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction.
PRIMARY RESPONSIBILITIES
- Maintain confidentiality in all aspects of client, staff and company information.
- Oversee all aspects of general office coordination
- Answer telephones and transfer to appropriate staff member.
- Handle general information and sales calls.
- Meet and greet clients and visitors.
- Create and modify documents using Microsoft Office or comparable software.
- Perform general clerical duties to include but not limited to: filing, mailing, and copying.
- Maintain filing system.
- Sign for packages.
- Coordinate and maintain records for staff, office space, phones, company credit cards and office keys.
- Coordinate and direct office services, such as records, budget preparation, personnel and housekeeping.
- Setup and coordinate meetings and conferences.
- Setup accommodation and entertainment arrangements for company visitors.
- Attend Board, committee meetings or other meetings as requested in order to record minutes.
- Make travel arrangements for staff, board and volunteers.
- Maintain and distribute staff weekly schedules.
- Collect and maintain equipment inventory, and software licenses.
- Support staff in assigned project based work.
- Research, price, and purchase office furniture and supplies.
- Arrange for the repair and maintenance of office equipment.
- Provide general office orientation for new employees.
- Other duties as assigned.
KNOWLEDGE AND SKILL REQUIREMENTS
- Basic reading, writing, and arithmetic skills required.
- Professional verbal and written communication skills
- Ability to type 50 WPM.
- Knowledge of the basic principles and practices of bookkeeping.
- Ability to work well either alone or as part of a team.
- Ability to follow oral and written instructions.
- Ability to operate standard office equipment.
